This Privacy Policy describes how Edu QR System (“we”, “us”, or “our”) collects, uses, stores, shares and protects information when you use our mobile application and website. By using Edu QR System, you agree to the practices described in this policy.

• Staff information: name, email address, phone number and role (admin or teacher) used for account creation and login.
• Student information: name, roll number, class, section, student photo, unique student code and group/stream (for grades 11-12).
• Parent/guardian information: parent name, parent email and parent phone number provided by the school or teacher.
• Learning activity: QR code scans, video watch time, quiz and live test attempts, bookmarks and study progress.
• Content uploads: videos, PDF notes, images and questions uploaded by teachers for their own students.
• Device information: device type, operating system version and anonymised usage analytics to improve app performance.
• Website visit analytics: homepage visit time, device category and approximate network-derived city, state/region and country, visible only to administrators. Adults can explicitly opt in on the homepage to share a GPS point, device-reported accuracy and recording time for Admin visitor reporting. GPS is stored only after that separate consent and is visible only to administrators. No continuous or child-page location tracking is performed. Older city-only reports may use rounded coordinates with BigDataCloud or OpenStreetMap Nominatim; those legacy lookups store only place names. Raw IP and street addresses are not stored. Sharing is optional: decline the browser permission prompt to keep your location private. Admins may view a shared point through Google Maps, which receives the point when the map is opened. A short-lived keyed network identifier prevents duplicate visits. Records are retained for up to 30 days and removed when subsequent visits are recorded. Do Not Track and Global Privacy Control signals are respected. Child learning-page visits are not included in this website visitor log.
• Advertising measurement (Google Ads): when an adult opens our homepage, the Google tag may set cookies and send a "website visit" event to Google so we can measure which ads bring visitors. Google receives device and browser data for this measurement purpose only. It is not loaded in the EEA, UK, Switzerland or Canada, nor when Global Privacy Control is on, and never on child learning pages. Learn how Google uses data at business.safety.google/privacy. You can also block cookies in your browser settings.

• To provide the learning portal and student QR code experience.
• To let teachers manage only their own students and content.
• To generate ID cards, progress reports and automatic email updates.
• To process Razorpay payments for ID card orders.
• To improve app features and fix technical issues.
• To communicate important service updates to staff and parents.

We do not sell or rent personal data. We share limited data only with trusted service providers necessary to operate the app:

• Supabase — cloud database, authentication and storage.
• Razorpay — payment processing for ID card orders.
• Google AI / Gemini — optional AI translation, explanations and diagram generation.
• Email service providers — to send test reports and notifications to parents and teachers.

These providers are bound by confidentiality and data-protection obligations.

We keep data only as long as it is needed to provide the service or comply with legal obligations. Schools, teachers or parents may request correction or deletion of student records at any time by contacting us. Upon account closure, personal data is deleted or anonymised within a reasonable period.

Parents can delete their account and all personal data themselves at any time on our account deletion page, or by emailing us.

Children’s privacy

Edu QR System is designed for school use. Student accounts are created and managed by the school or teacher on the school’s authority. No student login is required. We comply with applicable children’s privacy laws, including COPPA where relevant, and do not knowingly collect personal information from children under 13 without appropriate school or parental consent.

Security

We use industry-standard measures including Row-Level Security (RLS), encrypted connections (HTTPS/TLS), role-based access control and secure authentication to protect your information. Teachers can access only their own students and content.

Your rights

Depending on your location, you may have the right to access, correct, delete, or restrict processing of your personal data. To exercise these rights, contact us using the details below.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify users of material changes through the app or website and update the “Last updated” date at the top of this page.
